Spaces
A space holds a repertoire (the pieces), programmes, concerts and one or more musicians. You can have several spaces, for example one per ensemble, and move from one to another at any time.
Local space and shared space
There are two kinds of spaces:

A local space stays on the device where it was created: nothing is shared or synced. The only way to get it elsewhere is to export it.
In a shared space, everyone always sees the latest version of the repertoire, and a manager’s corrections reach every member.
The Spaces page
The “Spaces” page shows all your spaces as cards, on two shelves:
- “In your account”: the shared spaces you created or joined. They only appear when you are signed in.
- “On this device”: the local spaces on this device.
Each card shows the number of pieces, programmes and members. Tap a card to open the space. The “Filter by name…” field finds a space among many.
To open this page: tap the space name in the pill at the top left, then “All spaces”.
Switching space
- Tap the space name in the pill at the top left.
- The “Switch space” menu lists your recent spaces, with your role (manager, member, or “On this device” for a local space).
- Tap the space to open, or “All spaces” for the full list.
A shared space that hasn’t been downloaded to this device yet is marked “Unavailable offline” while you have no connection.
Creating a local space
- Tap the space name in the pill at the top left, then “New space” (or the “New space” button on the Spaces page).
- Choose “On this device”.
- Name it, then tap “Create the space”.
Joining a space by invitation
A manager invites you with your e-mail address. You then receive an invitation e-mail from NoteStand, naming the space.
- Open the link in the e-mail: it opens NoteStand.
- Sign in with the e-mail address that received the invitation. If you don’t have an account yet, create one with that address (see Creating an account).
- A banner appears at the top of the app: “… invited you to join “Space name””.
- Tap “Accept”: the space opens and from now on appears under “In your account”. “Decline” turns the invitation down.
The banner needs a connection to appear. If you don’t see it, check that you are signed in with the right address, or ask the manager to resend the invitation.
Roles: manager and member
In a shared space, each person has a role:
- Manager: prepares the repertoire, programmes and concerts, changes the space settings, invites and manages members. A space can have several managers.
- Member: sees all the content of the space, read-only. A member can’t edit pieces or programmes, but can:
- draw their own annotations on scores (visible to them only, see Annotating a score);
- choose their part during a run;
- use My stand;
- answer concerts (“Will you be there?”);
- write to a manager from the “Members” page (“Write” button).
Your role is shown in the “Switch space” menu. In a local space, you can do everything.
Space settings
Tap the settings icon to the right of the space name (top left) to open “Space settings”. The pages available depend on the kind of space and on your role:

Renaming the space and setting the diapason
In “Ensemble”, change the “Ensemble name”, then tap “Rename”. The “Diapason” is the group’s reference pitch, used to play the starting notes: “Play the A” sounds it, “Restore 440” goes back to A = 440 Hz. For a shared space, renaming needs a connection.
My section and shared device
- “My section”: your section in this ensemble. It gives your part in each piece (starting note, highlighted staff, “My part” document). In a shared space, a manager may have set it for you.
- “Shared device”: choose “Yes” if several musicians look at this device at the same time (a tablet between two singers, for example). The run then highlights no part, except the “Highlighted section” if you pick one.
Organising sections
A section is a group of musicians in the ensemble (Sopranos, Altos, Tenors, Basses, Violins 1…). A part is a written line of a piece (“Soprano 1”, “Alto”…). The “Sections” page links the parts of the pieces to the ensemble’s sections, so everyone automatically finds their part in each piece.
The page has two columns: the ensemble’s sections, from highest to lowest, and the “Parts found” in the repertoire.
- Create a section: type its name (“New section, e.g. Mezzos”), then tap “Create”.
- Link a part: in “Parts found”, the “To link” filter lists the parts not linked to any section; choose “Link to…” and the section. NoteStand offers the most likely section (“Link to …”). From a section, “+ Part” adds parts.
- Ignore a part: for a part that belongs to no section (an accompaniment, for example), choose “Ignore this part”. It no longer counts in “To link”.
- Rename, move, delete a section: open the section’s menu. Drag it to change its order.
In a piece’s editor, a part linked to no section shows a “No section” badge.
Members see this page read-only.
Managing members
In a shared space, the “Members” page lists the people who have access to the space, with their role and section.
Inviting a member (manager)
- Open “Space settings” › “Members”.
- Tap “Invite”, type the “Email address” and choose the “Role” (Manager or Member).
- Confirm with “Invite”. The invitation is sent by e-mail.
Invitations not yet accepted are listed under “Pending invitations”: they give no access until accepted. “Resend” sends the e-mail again, “Cancel” withdraws the invitation.
Changing a member’s role or section (manager)
- “Make manager” gives the manager role; “Make member” removes it. The last manager of a space can’t be demoted.
- The “Section” column sets each member’s default section. The list of sections must exist first (see Organising sections).
Removing a member (manager)
Tap “Remove” and confirm. The person immediately loses access to the space and their personal notes are deleted. You can invite them again later.
Leaving a shared space
- Member: “Space settings” › “Ensemble” › “Danger zone” › “Leave”.
- Manager: “Space settings” › “Subscription” › “Danger zone” › “Leave”. This is only possible if another manager remains in the space.
To confirm, type the space name. You will no longer have access to it on any device; the space keeps existing for the other members.
Deleting a space
- Local space: “Space settings” › “Backup” › “Delete local space” › “Delete this space”. The space and all its content are deleted from this device.
- Shared space (manager): “Space settings” › “Subscription” › “Danger zone” › “Delete”. The space and all its content are deleted permanently, on every device and for every member.
In both cases, type the space name to confirm. This can’t be undone: remember to export the space first.
Backing up and restoring a space
The “Space settings” › “Backup” page (local space, or manager of a shared space) saves the whole space to a single .notestand file: pieces, documents, programmes.
Exporting
Tap “Export the repertoire”. The .notestand file is saved on your device; keep it somewhere safe (computer, personal cloud, USB stick). The page shows the date of the last export from this device.
For a local space, export regularly: it is your only backup.
Importing (restoring)
- Tap “Import a file…” and choose a
.notestandfile. - Confirm “Replace the whole space?” by typing the space name, then “Import and replace”.
Importing replaces the entire open space with the content of the file. This can’t be undone. To recover a backup without touching an existing space, first create a new, empty local space, then import the file into it.
A damaged or invalid file is refused without changing anything.
Managing an existing subscription
A shared space runs on a subscription, attached to the space and handled by its managers. Members have nothing to do.
The “Space settings” › “Subscription” page (managers) shows the space’s plan, its status and its renewal or expiry date:

The payment method, invoices and cancellation are handled on the payment portal, opened by the “Manage subscription” button when it is shown on this page. A scheduled cancellation appears on the page with its date.
If a member sees the message “Change not saved: this space has no active subscription.”, they should contact a manager of the space.
Signing in
NoteStand asks for an account from the first open; it gives access to shared spaces. See Account.
