Concerts
A concert ties together a date, a venue and a programme. The same programme can be used for several concerts. The concerts of the space are in the “Concerts” tab, sorted into “Upcoming” and “Past” (“Full history” for older ones). The next concert is highlighted.
In a shared space, managers prepare the concerts; members view them and say whether they’ll be there. A local space has no members: no answers from musicians, and no online page.
Creating a concert
- In “Concerts”, tap “New concert” (or, from a programme, “New concert with this programme”).
- Enter the date, the venue and, if you already know it, the programme.
- Confirm: the concert opens.
On the concert page, then fill in the details:
- Public (printed and online): start and end, venue and address, “Tickets”, “Introduction”, “Guest ensembles”;
- Internal (musicians only, never published): “Call time”, “Meeting point”, “Dress code”, “Practical info”.
Preparing, announcing, cancelling
A concert goes through several statuses:
| Status | Meaning |
|---|---|
| “In preparation” | the concert is being prepared; in a shared space, musicians don’t see it yet |
| “Announced” | the concert is visible to musicians, who can answer |
| “Cancelled” | the concert stays visible, marked cancelled; answers are closed |
- Announcing (shared space): tap “Announce to musicians”. Tick “Send the invitation email” to let everyone know by e-mail (date, venue, call time and each person’s part), then “Announce”. Offline, the concert is announced without e-mail; you can send the invitation once the network is back.
- In a local space, the same button is called “Mark as ready”.
- “Back to preparation” puts the concert back in preparation.
- Cancelling: “More actions” menu › “Cancel concert”, with or without an e-mail to the musicians. “Reinstate concert” brings it back.
At the top of the page, “Duplicate” creates an identical concert, for another date. The “More actions” menu also offers “Delete concert” (the programme itself is not deleted).
Answering a concert (member)
On an announced concert’s page, the question “Will you be there?” awaits your answer: “Present”, “Not sure” or “Absent”. You can change it until the concert has taken place. If a manager corrected your answer, the page says so.
Managing the line-up (manager)
A concert’s “Line-up” block sums up who is there and who plays what. “Manage” opens two views:
- “Attendance”: each musician’s answer, with present / not sure / absent / no answer counts. “Remind” sends a reminder e-mail to the people who haven’t answered (at most one reminder per 24 hours).
- “Parts”: the parts grid for this concert. Changes only apply to this date; the assignments shared by every concert are set in the programme. “Don’t play” drops a part from a piece for this concert only.
When parts have changed, NoteStand offers to notify the musicians concerned by e-mail.
Adding the concert to your calendar
Tap “Add to my calendar”: NoteStand creates a calendar file (.ics) with the date, time and venue, which you open with your device’s calendar app (Apple Calendar, Google Calendar, Outlook…).
The audience programme
Preparing the texts
For each piece, the “For the audience” row of its details holds the “Public title” (by default, the piece’s title) and the “Programme note”. In the programme, an item can be hidden from the audience programme.
Printing a programme (PDF)
- On the concert page, in the “Audience programme” block, tap “PDF · A5 booklet” (or “Preview”).
- Choose the format: “A5 booklet” (a folded A4 sheet) or “A4 sheet” (one side).
- Choose what to include (guest ensembles, NoteStand credit…).
- Tap “Download PDF”.
For the booklet, print double-sided (flip on the short edge), then fold. A piece without a programme note is printed with its title and composer.
Publishing an online page with a QR code (shared space)
The “Online page and QR” block publishes the programme and the concert’s public information on a web page, which the audience opens by scanning a QR code. The concert must be announced first, and publishing needs a connection.
- “Publish” puts the page online; “Republish” updates it after a change; “Unpublish” takes it down.
- “QR poster” creates an A5 or A4 poster to print, with the QR code.
- “Copy link” and “Open the page”.
The page also shows how many times it has been viewed.
The concert’s copyright
The “Copyright (SACEM)” block reminds you of the declarations to make and prepares the “Programme of works”. See Copyright.
